ADMINISTRATIVE OPS INTERN
BACKGROUND
Since 2014, NPOC Services has supported small nonprofit organizations nationwide through outsourced finance operations. We specialize in bookkeeping, administrative support, human resources, and payroll services. As we continue to grow, we are seeking a part-time Administrative Operations Intern to join our team and support client accounts with administrative needs in service of operational excellence.
This internship offers hands-on exposure to nonprofit operations and administrative functions, and is ideal for someone detail-oriented, curious, and eager to contribute to mission-driven work. You’ll gain practical experience supporting a wide range of internal and client-facing processes, working closely with operations professionals across departments.
POSITION
JOB DESCRIPTION: Administrative Operations Intern
POSITION STATUS: Part-Time | Remote (Hybrid possible for candidates near Salem, MA)
REPORTS TO: NPOC Services Fractional Chief of Staff
COMPENSATION: $18-20/hr
ROLE OVERVIEW
The Administrative Operations Intern will be assigned to dedicated client accounts and will also support other client teams and NPOC staff as needed. The position offers broad learning experience, with the opportunity to contribute meaningfully to both day-to-day operations and longer-term process improvement.
Primary Responsibilities (include but are not limited to):
- Serve as the primary client contact for administrative tasks as assigned
- Provide calendar and schedule management for NPOC and client teams
- Manage documents, including editing, tracking, and coordinating signatures
- Support travel management (bookings and logistics)
- Scan, file, and organize documents and mail
- Perform data entry for both client and internal needs
- Maintain and update database records accurately
- Track and manage scheduling of major NPOC/client events and deadlines
- Coordinate client mailings and fulfill order requests for regular and special projects
- Assist management with coordinating cross-functional work (e.g. audit timelines, deliverables)
- Provide logistical and administrative support for the Salem, MA office (if local), including reception and team coordination
- Support C-level Directors with special projects and administrative tasks as needed

- Availability to work during normal business hours
- Ability to work from our local office in Salem, MA (if local)
At least two years of relevant professional experience, preferably in the nonprofit sector. Strong oral and written communication skills are essential. Proficiency in Microsoft Office Suite—particularly Excel and Word—is required.
